Application procedure to German universities via uni-assist

Depending on your chosen university, there are 3 types of application procedure via uni-assist:

  • Standard procedure
  • Special procedure: “Vorprüfungsdokumentation” (VPD) – Preliminary Review DOCUMENTATION
  • Special procedure: HOCHSCHULSTART.DE (DOSV)

1.1. Standard procedure is used for most of uni-assist’s member universities

  1. You submit your application online with all the required documents to uni-assist.
  2. Sending all certified and translated copy of your documents by post and track its arrival to uni-assist
  3. uni-assist evaluates your application for the universities.
  4. If it is a positive evaluation, uni-assist will forward your application to the universities in electronic form.
  5. The university decides on your admission and informs you of the decision.

1.2. Special procedure: “Vorprüfungsdokumentation” (VPD)

Some universities only require several specific documents review by Uni-assist. Afterward, Uni-assist will issue a VPD certificate for you to use it to apply for your university.

What is VPD certificate?

VPD is a document issued by Uni-assist after they evaluate your documents. VPD contains below information for university to process your application:

  • Which educational certificates were presented
  • How uni-assist evaluates these educational certificates
  • How uni-assist rates the grade within the German system of grades

Procedure is as follows:

  1. You submit your application with all required documents to Uni-assist online portal and pay the handling fee
  2. Sending all certified and translated copy of your documents by post and track its arrival to uni-assist
  3. uni-assist evaluates your documents: The processing usually takes 4 to 6 weeks after receipt of your application and handling fee.
  4. If it is a positive evaluation, uni-assist will send you VPD via post and email (in PDF file)
  5. Sending VPD with other required documents to your university before the deadline
  6. The university decides on your admission and informs you of the decision.

You should apply for your VPD to uni-assist as early as possible because 2nd application to your university is needed before the application deadline. You may apply for a VPD with Uni-assist any time and your VPD will be valid for one year after the date of the issue.

1.3. Special procedure: Hochschulstart.de (DoSV)

Application procedure of Hochschulstart.de is also known as “dialogue-oriented service procedure” (DoSV/Dialogorientiertes Serviceverfahren). It applies to popular undergraduate courses with a local Numerus Clausus (NC) and is not used for Master’s courses.

You can find out directly on your university’s website if your chosen course of study is part of the DoSV. Or else, you can also see this in the Uni-assist online portal as soon as you create an application for this course.

Only for this procedure, you will need an additional registration at hochschulstart.de. Below is the guideline for you to understand this procedure:

Step 1: Register on hochschulstart.de

  • Create an account on DoSV online portal at hochschulstart.de
  • Wait for the confirmation e-mail and click on the activation link.
  • Log in and copy the ID Numbers BID (applicant identification number) and BAN (applicant authentication number) under “My Data”.

In case you want to apply for more than one course, you could properly set your priorities using hochschulstart account. If you need to attend a Studienkolleg or preparatory German language course before you can begin with your studies, your selected university will inform you directly about admission.

Step 2: Apply via the uni-assist online portal:

  • Register with the online portal.
  • Create an online application for each chosen course.
  • State BID and BAN in your online application.
  • Upload your documents.
  • Submit all online applications electronically and pay the handling fee Without the correct BID and BAN, uni-assist will be unable to forward the application to universities.

Step 3: Send all certified and translated copy of your documents by post and track its arrival to Uni-assist Step 4: Uni-assist evaluates your application for the universities. Step 5: If it is a positive evaluation, uni-assist will forward your application to the universities in electronic form. Step 6: University will send you admission via hochschulstart.de. You can check the status of you application as well as accept the admission offer on hochschulstart.de website.

Which document should I prepare to send to uni-assist?

The required documents will vary, according to your university or country of origin. However, below are the basics papers you should well prepare:

Education certificate

For Bachelor:

  • School-leaving certificate: a document which proves your qualification for entering university in your home country (high school graduation certificate…). It should accompany with an overview of your subjects and grades or a transcript.
  • Proof of having passed a university entrance exam
  • Certificate for previous university study: a university diploma + a transcript with all subjects and grades
  • Explanation of your university’s grading system, officially issued by your university as a PDF file or on its website

For Master:

  • Certificate on university studies: University diploma + overview of subjects and grades without any missing diploma supplement or page.
  • Explanation of your university’s grading system, officially issued by your university as a PDF file or on its website.
  • School leaving certificate and proof of having passed a university entrance exam for a master’s courses in your home-country (required by some universities only)

These documents could be submitted only once for multiple universities you wish to apply to. You should start with the certificate from the last school you graduated from (which entitles you to begin university studies in your home country) and continue up to the current state of progress in your university studies.

Language certificate

For German:

  • DSH
  • TestDaF
  • Certificates issued by the Goethe-Institut, if accepted by your university
  • The DSD German language diploma (“Deutsches Sprachdiplom der Kultusministerkonferenz”), if accepted by your university

For English:

  • IELTS
  • TOEFL
  • A proof that English was language of instruction in your previous study (accepted by some universities only)
  • Cambridge English language certificate: FCE, CAE, and CPE online
  • Other certificates if accepted by your universities

The required proficiency level of languages may differ between universities or courses. You have to check the admission criteria of your university before submitting it to uni-assist.

Certified copies and translations of your documents

All copies of your documents must be notarized with an official stamp or a ribbon and an embossed seal.

Besides the copy of each certificate in its original language, you have to accompany it by a certified translation in German or English.

Other documents required by universities

Some universities require additional documents which might be in the list below:

  • Curriculum Vitae
  • Letter of motivation
  • Photo
  • A copy of passport
  • A certificate of enrolment ("Immatrikulations-Bescheinigung") or a certificate of removal from the register of students ("Exmatrikulationsbescheinigung"), if you have studied in a German University before.
  • TestAS
  • GMAT/GRE
  • Proof of internship/job experience
  • Portfolio
  • Doctor’s note, proving that you are physically fit for some courses
  • Proof of having passed an attitude test or entrance exam
